Note: This report must be enabled before you can use it. Contact support@responsive.io or your CSM to access this feature or request enablement. Once enabled, administrators with all privileges and system administrators are automatically granted access to this report.
The Keyword Trends Analysis report helps you visualize information about what keywords your customers are using it their RFPs. This can be helpful for understanding your issuers when the RFPs you receive contain a great deal of information but it’s hard to access.
The report extracts keywords from project questions so you can see which topics your issuers are most interested in. You can search and filter for specific keywords as well as specify which keywords should be ignored.
Note: The number of project questions analyzed directly impacts the quality and volume of the keywords in the report.
The graph shows the top five keywords that appear in the RFPs you’ve received over the last year. Hover over a keyword to quickly see how many times it was mentioned, how many projects it appeared in, and how many questions used it.
The Summaries section lists each keyword on a card. You can see the number of mentions, the change from the previous year, and the projects it appears in. If it did not appear in your projects in the previous time period (a year by default, or a time period you specify in the filter), it’s labelled as New Keyword. To ignore this keyword, click the icon in the top right corner.
The Noteworthy Trends section at the bottom of the page shows recent movement and activity in the popularity of your keywords so you can visualize uptrends and downtrends. It shows the top five keywords and the percentage of the change.
Once enabled, Responsive will analyze the project questions in your company and notify you when your Keyword Trends report is ready.
There are three ways to find keywords. You can search, filter, and manage your ignored keywords at the top of the report.
Enter the name of the keyword you want to see to search for it. This is helpful if you want information about a keyword that is not one of the top five.
Click Filter to display options to change the Project Created Date (one year by default) and the Project Type (RFP by default).
Click the down arrow in the field to see previously searched keywords.
You can also filter on Project custom fields.
Note: The fields must be marked as Searchable in Organization Settings > Response Projects > Custom Fields to be available as a filter.
Click + Add Filter to see the available filters (you can search for the field you want using the search bar, or scroll down through them), then click the Add icon to add the custom field as a filter.
After you find the keyword, the information about it is displayed.
You can hover over the bars on the chart for a breakdown of the mentions, projects, and questions that the bar represents.
The bottom of the page shows information about all projects where the keyword was used. Click the Details button for a project to see the sections and questions that the keyword appears in.
If you don't want a keyword to be included in the report, you can ignore it. If the Ignore icon appears on a card, click it and the keyword will be ignored.
To update the list, click the icon at the top of the page near the Search field.
All the ignored words are listed.
Click the letter to see all the ignored keywords that begin with that letter.
Enter new keywords to be ignored in the field, separated by a semicolon. Click Add when you are finished.
Click the X next to a keyword to remove it from the list. Select Reset to remove all the words from the list. Click Save to save your changes.
