Profile Center provides a suite of security features designed to safeguard your profiles and their content, ensuring that only authorized individuals can access your valuable data.
Profiles in Profile Center can be Public (visible to the public via a sharable link) or Private (visible only to invited personnel). You can choose the option that best suits your organizational needs.
You can select the type from the Who has access drop-down list when publishing the profile.
Public profiles act as Trust Centers and the published profiles are publicly accessible via a unique URL generated by Responsive. This makes it ideal for sharing and showcasing your content to a wider audience.
Note: You can use a custom URL for your Trust Center domain instead of the one generated by Responsive. See Adding a custom domain for your Trust Center for more information.
Private profiles are accessible only to invitees. The profile owner, contributors, and users with access have the ability to send invites to specific individuals, ensuring controlled access.
You can tailor access rights to your specific requirements. Users can exercise precise control over who has access to their profiles by configuring access control. Access control can be set up for profiles and individual artifacts.
See Using Profile Center access control for more information.
Profile authors have the option to require users to digitally sign a non-disclosure agreement (NDA) before they can view profiles or individual artifacts. This extra layer of security ensures that sensitive information is protected, and only authorized individuals can access it.
Note: Only admins with access to Organization Settings can set up the verbiage for the NDA.
See Creating and enforcing NDAs for more information.
When sharing public and private profiles and the recipient has already signed the NDA, it can be bypassed so the recipient can access the profile without resigning it. This grants recipients access to the profiles as intended without unnecessary NDA prompts, streamlining profile access while maintaining security and compliance.
See Bypassing NDAs when sharing a profile, Bypassing NDAs for contacts within Microsoft Dynamics, Bypassing NDAs for contacts within Salesforce, and Bypassing NDAs for contacts within DocuSign for more information.
To reinforce the protection of intellectual property and discourage unauthorized sharing of sensitive information, we now offer the option to apply watermarks. You can leverage the feature to apply watermarks or brandings to questionnaires and a wider range of document formats, including image, text, Word, Excel, and PowerPoint.
See Watermarking PDF documents for more information.
