Using Responsive with Google Drive

You can use the Google Drive integration to import Google Drive documents and files into your Content Library, and export response packages to it, providing:

  • Easier access to files
  • Better workflow organization
  • Secure document management with improved efficiency

You must grant Responsive access to your Google Drive in order to use this feature. See Enabling Cloud Storage Integrations for more information on how to set up your integration.

Importing Google Drive documents into your Content Library

You can import documents from Google Drive into your Content Library so you can use them in Responsive. To import a document, perform the following steps:

  1. In the Content Library, click New at the top of the page and select Document(s).
  2. Click the Google Drive icon, then select the files you want to upload. You can search for them or click a tab at the top to filter the files by type.
    Note: If you are not signed in to Google Drive, you will be prompted to sign in and allow Responsive to access your Google account.
  3. Click Select.
  4. Confirm that you have the documents you want and click Next.
    Note: You can click the Trash icon to remove a document.
  5. Enter information about the document when prompted.
    • Click the down arrows to expand the sections for Metadata and Privacy, Usage and Review to see more fields.
    • As a best practice, we recommend that you assign an owner and at least one tag for every uploaded document.
  6. When you are finished, click Upload. The document will be displayed in your Content Library.

Updating imported documents

When the original Google Drive document is updated, the Google Drive badge on the document displays a blue dot to let you know it's been changed.
Note: When you update the document in your Content Library, it isn't automatically updated in Google Drive.

  1. Click the Google Drive badge. You'll be prompted to update the document with the changes.
  2. Click Update to replace the file with the updated version.

Manually checking for updates

Responsive checks for updates daily. If you think the document has been updated but don’t see the blue dot, you can trigger a manual check by clicking the Google Drive icon.

A pop-up appears stating either that there's a newer version of the document or that you have the latest version of it.

Importing Google Drive files into your Content Library

You can import a file of Q&A pairs into your Content Library when the file is stored on Google Drive.
Note: If the file on Google Drive is updated later, the changes are not reflected in your Content Library.

  1. In the Content Library, click New at the top of the page and select Import File.
  2. Click the three-dot Menu at the top of the page and select Add New File.
  3. Click the Google Drive icon, then select the files you want to upload. You can search for them or click a tab at the top to filter the files by type.
    Note: If you are not signed in to Google Drive, you will be prompted to sign in and allow Responsive to access your Google account.
  4. Click Select.
  5. Map the questions and answers in the file as usual, then click Next.
  6. Enter information about the document when prompted.
    • Click the down arrows to expand the sections for Metadata and Privacy, Usage and Review to see more fields.
    • As a best practice, we recommend that you assign an owner and at least one tag for every uploaded document.
  7. Click Import. The pairs appear in your Content Library, filtered to display them.

Exporting responses to Google Drive

  1. Create your export package as usual, then click the three-dot Menu for the package and click Save to Google Drive.
  2. Navigate to the proper folder for the package and click Select to export the file.
