Overview
This feature is available only if Responsive AI is enabled for your organization. Contact support@responsive.io to access this feature or request enablement.
Quality Check acts as a pre-submit audit for your finished RFx responses, helping you deliver proposals with greater confidence and precision. It reviews your RFx before submission to flag potential issues such as:
- Missing responses
- Invalid URLs
- Invalid merge tags
- Sensitive data
- Negative responses
With Quality Check, proposal and bid managers can find and resolve these issues early, ensuring higher quality submissions, reduced risk of errors, and faster internal reviews.
Quality check is available for Basic Rich and Full Rich text response types only.
Enabling Quality Check
- Go to Organization Settings > Responsive AI > Preferences, then scroll down to the Quality Check section and expand it.

- Turn on the toggles associated with the categories you want to enable.
Using Quality Check
- From the Sections page, click Responsive AI and select Quality Check.

- Deselect any categories you DO NOT want to initiate, then click Start Quality Check.
Note: Once initiated, Quality Check cannot be cancelled and the project will be locked to restrict you from performing any other actions during this time.

- The Quality Check pane displays the count of issues encountered under each check. Click Review to view the issues.

- The Answering page opens in Quality Focus mode with the Quality Check tab open in the right-hand pane. Take action on the Quality Focus ribbon as necessary:

- To further filter questions based on the quality check parameters, click the Filter icon and select the ones you want to apply.
- Only questions with quality issues are displayed in Quality Focus mode. Click Exit to view all questions.
- Click in the Issue card for a response to highlight the corresponding issue in the Rich Text editor and take corrective action to resolve the identified issues.
Note: When Quality Focus mode is on, the Quality Check tab opens on the right-hand pane when you click on the question/response. When it's off, you must click the Quality Check tab from the right-hand pane to access quality issues.

- Corrective actions (Update/Accept/Reject) are available for missing responses, invalid URLs and invalid merge tags. For negative response identifiers and sensitive data, you’ll be notified of the issue but corrective action is unavailable.
- The Quality progress bar and toggle show your progress, but only appears if you've initiated Quality Check at least once.
- If you've left the Quality Focus ribbon open the progress appears there too. Hover over it to see the total count of issues found, resolved, and pending.
- Do one of the following:
- If you resolved the issue via the Quality Check tab, click Move to the next question on the Quality Check tab. No action buttons are disabled and you can address all the quality issues one after the other.

- If you resolved the issue via the Rich Text editor (or any other edits) and saved your actions, click Move to the next question on the New Changes Detected banner in the Quality Check tab. All the action buttons are disabled.

Quality Issue Categories
Listed below are the Responsive AI quality issue categories and fixes:
- Missing Responses: When there’s a missing response, the Generate button appears. Clicking on generate will redirect the user to AI writing state in the response field. The buttons will be in disabled state until the AI generates the answer. If the answer is applied then the card is actioned. To ignore the quality check suggestion, click Reject, the answer in rich text the card will not be actioned.
- Invalid URL: Identifies broken and invalid URLs. You can add a valid URL and replace the broken URL by clicking Update. To ignore the quality check suggestion, click Reject.
- Invalid Merge Tag: Identifies invalid URL. You can update the valid URL from system defined and user defined merge tags. To ignore the quality check suggestion, click Reject.
- Negative Responses: Identifies answers with a negative tone. You cannot rectify this through the right pane but only from a rich text editor. To ignore the quality check suggestion, click Keep it as is.
- Sensitive Data: Identifies answers with PII or PHI data. You cannot rectify this through the right pane but only from a rich text editor. To ignore the quality check suggestion, click Keep it as is.
