How to Adjust the Salary of a Supported Employee

Adjustments to a supported employee's salary are made in our Global Work Platform™

A user must have the Company Admin role or HR Manager to adjust the salary of a supported employee.

Please note that in some countries, this may take up to five business days. Timely submission of these updates is important to ensure they are processed before the payroll cut-off date.

If a job title change is needed along with a base salary update, use the table of contents on the right to navigate to the Requesting a job title change with a base salary update section of this article. If no job title update is required, proceed with the steps outlined below.

Note: You must be logged in to the Global Work Platform™ to access the video.

Step 1. Log in to the Global Work Platform™.

If you have difficulty logging into the Global Work Platform™, please reference the "I'm having login issues" article.

Step 2. Navigate to the Pay tab.

Step 3. Click on the "+ Payroll Item" button.

The button is located in the top right-hand corner of the Pay tab, next to the search box.

 

Step 4. Select the supported employee's name from the dropdown menu, then click Next.

Select the employee's name; the contract ID will automatically be filled in.

Payroll items cannot be entered for a supported employee without a Payroll Calendar set up.

 

Step 5. In the "Salary & Job Title" section, enter the effective date for the base salary update.

Select the date this payment becomes effective. In some cases, the amount for that particular month may be prorated. The pay period for which the change will be processed will automatically be filled in depending on the payroll cut-off date. Once you enter an effective date, you can see when it will be paid out in the Pay Period field.

If the payroll deadline for your selected payment effective date has passed, a support ticket will be opened to process the backdate request. The base salary change will be processed in the following pay cycle, or our team will contact you if more information is needed to process the base salary increase request.

Step 6. In the "Salary" section, click "Edit" to update the supported employee's base compensation.

The following fields are required for a salary update:

  • How would you like to enter the salary amount? - Select whether you will enter the supported employee’s salary as annual, monthly, or hourly (hourly rates available only in certain countries).

  • New Annual Compensation - Enter the new annual or monthly salary amount in local currency.

    • The supported employee's current compensation amount will be displayed above this section for your reference.

  • You can also select Add Note to add any additional information. Notes can include any relevant information about the one-time payment, such as a description of the payment.

  • Note: Allowances can only be submitted as monthly amounts

It is very important to ensure the amount is entered in the currency displayed on the screen.

Step 7. Click the green "Next" button to review the salary adjustment details.

The button is located in the bottom right corner of the New Payroll Item screen.

Once submitted, internal users can view the calculated pay items associated with the compensation item. 

Note: In the pay items breakdown, clients and employees can see the calculation for annual payments and the breakdown formula that derives the monthly value. The salary adjustment has not yet been submitted. Please review the information provided by continuing to Step 9.

Step 8. If the effective date needs to be adjusted, please select a new effective date.

Step 9. If a job title change should accompany this salary adjustment, click Edit in the "Job Title and Description" section. If no job description change is needed, skip this step.

Click "Next" once any new job title details have been entered.

Step 10. Check the box to confirm you understand that the changes you have made are legally binding.

The salary adjustment cannot be submitted without checking this box.

Step 11. Click the green "Submit" button.

You and the supported employee will receive an email letting you know of the update. Some countries require our team to review to ensure compliance and accuracy; in these instances, you will receive a notification once it has been processed.
