How to Submit Timesheets in the Global Work Platform

This article will show you how to input timesheets into the Global Work Platform. 

For countries such as France, where timesheets are divided into Morning and Afternoon sections, please refer to "How to Submit Morning and Afternoon Timesheets"

A user must have supported employee permissions to submit hourly timesheets in the Global Work Platform™. HR or Time Off Managers cannot edit or view timesheets in the Global Work Platform™.

 

Timesheets are available in several countries, including Austria, Belgium, Bulgaria, Croatia, the Czech Republic, Denmark, Estonia, Finland, Germany, Hungary, Ireland, Israel, Italy, Luxembourg, the Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Spain, Sweden, Switzerland, Taiwan, Ukraine, and the United Kingdom (hourly and non-hourly).

Submitting Hourly Timesheets

Step 1. Log in to the Global Work Platform™.

If you have difficulty logging into the Global Work Platform™, please reference the "I'm having login issues" article.

Step 2. Navigate to the Time Tracking section of the Time Tab.

Step 3. Adjust the Day type for each date's hours.

Next to each date, there is a day type dropdown. This allows you to choose from several options for predefined hours and activities, such as a sick day. By default, each timesheet comes pre-filled with the "Work" day type for weekdays.

Hourly employees will notice their timesheets do not come prefilled.

 There are several different day types that can be adjusted. When a new day type is chosen, it will override any existing activities for that day.

Day type descriptions

There are several different day types, each containing prefilled activities that can be adjusted and activities such as Work and Break added. If you want to use Paid time off (PTO) or sick time, you must choose one of those days. Sick and PTO hours can not be added with an activity. 

Day types depend on country regulation and supported leave types. Please note that you might not see each option.

When selecting day types related to Leave, such as Paid Time off or sick day, please make sure you are also requesting the days off in the Time off tab.

When using Other Paid Leave or Unpaid Leave, please use the help widget to contact your HR Specialist, as documentation may be required.

Step 4. Add or adjust the hours for each date by clicking the clock icon.

You can adjust the hours of an activity by typing in the new hours or add another activity by selecting the + Add Activity button below a date. 

Please note that you can only add Work or Break hours when adding an activity.  For PTO or Sick days, you must choose the appropriate day type to get those activities.

Hours are stored in a 12-hour format. When adjust hours, make sure to account for AM and PM.

Copying hours across days in a week or timesheet

After filling in your hours that match your typical workday, you can copy those hours to all of the workdays for that week or the entire timesheet. You can do this by selecting the copy icon next to the hours of the day.

This will overwrite any days within the time frame selected. If you have already filled in the information for previous days in the week or timesheet, it will switch to the information input on the copied day. 

The copy function applies only to standard workdays, such as Monday through Friday, and skips weekends (Saturday and Sunday). In countries where workdays differ, the copy function will adjust to match the local workweek

Step 5. Click the green "Submit" button to submit your completed timesheet.

The button it located in the upper right corner of the Time Tracking page.

If there are any errors, such as overlapping time intervals or incorrect start or end times, you will be prompted to return to the timesheet to correct the error.

Once a timesheet is submitted, it cannot be edited from within the Global Work Platform™. If you need to make any edits to a submitted timesheet, please use this form to reach out to our support team.

  

Downloading Timesheets for Manager Approval

If you need to gain manager approval, you can easily download the timesheet and send it to them. After filling out the timesheet, you can follow the steps below to receive an XLSX file that you can email for approval.

Step 1. Log in to the Global Work Platform™.

Step 2. Navigate to the Time Tracking page under the Time Tab.

Step 3. Click the download button.

The download button is located in the top right corner of the Time Tracking page, next to the green "Submit" button.
