How to Reconnect Your Xero Integration

Your Xero integration sends your transaction data to Kintsugi so your sales tax calculations and filings stay accurate. If the connection is lost, there's usually no need to worry, as it typically just needs a quick reconnect.

This article explains why Xero connections can disconnect, how to reconnect them, and answers common questions about Xero integration issues.


Why Did My Xero Integration Disconnect?

Unlike some other platforms, Xero doesn't send a live signal the moment access is revoked; instead, Kintsugi checks in periodically to confirm the connection is still healthy. When it isn't, Xero returns an authentication error across every endpoint at once, which is Xero's way of signaling that the app's access to your organization was pulled entirely (not just an expired token).

This usually comes down to one of the following:

  • The Kintsugi connection was disconnected directly in Xero. Someone with admin access removed it under Settings → Connected Apps in Xero.

  • The person who originally authorized the connection lost access to the Xero organization. For example, they left the company, changed roles, or were removed as a user.

  • The Xero subscription lapsed. If the Xero subscription tied to that organization expires or lapses, the connection will break until it's reinstated.

  • Standard token expiration. Less commonly, the connection may simply need a routine refresh, as with any integration.

Because Kintsugi finds out about Xero disconnections by checking in periodically rather than getting notified instantly, there can be a short delay between when the access was actually removed on Xero's side and when Kintsugi reflects it as disconnected.


How to Reconnect

  1. Go to Settings → Integrations, find the Xero connection marked Invalid or Revoked, and click Reconnect.

  2. You'll be asked to log in to Xero again to re-authorize access. Use an account with admin-level access to the organization you're connecting.

  3. Complete the login and authorization prompts, and the connection should return to Active.

Reconnecting only refreshes the authorization and won't affect your historical data or anything already synced.

Q: Is it safe to reconnect my Xero integration?
A: Yes. Reconnecting only refreshes your authorization with Xero. Your existing synced data and any filings you've already submitted remain unchanged.

Q: Nothing changed on my end, why did my Xero connection disconnect?

A: The most common causes are someone removing the Kintsugi connection under Xero's Connected Apps settings, the person who originally connected it losing access to the Xero organization, or the organization's Xero subscription lapsing. None of these require any changes on Kintsugi's side and reconnection resolves it.

Q: Should I check anything in Xero itself before reconnecting?

A: Yes. You should confirm the Xero subscription for that organization is active, and that you're logging in with a user who still has access to it. If either of those isn't the case, address it in Xero first, then reconnect.

Q: Why does Kintsugi say I'm disconnected when I didn't get any notice from Xero?

A: Kintsugi doesn't get an instant notification when a Xero connection is revoked, but checks it periodically. So there can be a short lag between when access actually changed in Xero and when Kintsugi shows the connection as disconnected.

Q: Will reconnecting cause duplicate data or re-import old transactions?

A: No. Reconnecting re-establishes the authorization only; it doesn't reprocess or duplicate historical data.

Q: What if reconnecting doesn't fix my Xero connection, or it disconnects again right after?
