If your business does not have a US bank account, you can still stay compliant. Kintsugi offers a wire transfer option that lets non-US customers pay their US sales tax through us while you work toward opening a US account.


Who This Applies To

This option is available to non-US customers who meet the following criteria:

  • Your business is based outside the United States and does not have a US bank account

  • You have a signed Cloud Service Agreement with the Kintsugi Sales Team

  • Kintsugi has approved you to use the interim wiring method while you establish a US bank account

  • You are registered to collect and remit sales tax in one or more US states


Why This Option Exists

Kintsugi normally remits sales tax payments to US tax agencies through a US-based bank account. If your business does not hold one yet, wire transfer lets you meet your filing obligations in the meantime, without delaying your compliance.


How the Wire Transfer Process Works

Each filing period, the process runs as follows:

  1. You receive your filing summary.
    Kintsugi calculates the total sales tax liability owed for each state in the applicable filing period.

  2. You wire the remittance amount to Kintsugi.
    Using the wiring instructions (see below), you transfer the exact amount owed to Kintsugi's designated bank account.

  3. Kintsugi confirms receipt.
    Our team verifies the wired funds have arrived and cleared.

  4. Kintsugi remits to the state.
    Once confirmed, our team submits the tax payment to the appropriate state agency on your behalf.

  5. You receive confirmation.
    We share proof once your payment has been processed and posted.


Important Guidelines

Temporary option: Wire transfer is meant as a short-term solution. We strongly encourage you to work toward opening a US bank account, which simplifies future remittances and can reduce processing fees over time.


Timing: Start your wire transfer 5 to 7 business days before the due date. This gives enough time for bank processing and clearing on both ends.


Notify Us: Inform us immediately after sending the wire, and include proof, such as screenshot or confirmation number of the transaction.

Cutoffs Matter: If funds do not arrive and clear before the due date, Kintsugi may be unable to file or remit for that period, which can result in late fees or penalties from the state.

Wiring details are shared directly and securely by your Kintsugi account representative or our support team, to keep remittance details protected.

Reach out to us each filing period to confirm the current instructions and the exact amount due before sending funds. Sending the wrong amount can delay your filing.

Important: Please do not send funds until you have confirmed the remittance amount with the Kintsugi team. Wiring incorrect amounts may delay your filing.

Currency and International Transfer Considerations

Since your wire is likely coming from a non-US bank, keep these in mind:

  • Send funds in USD whenever possible, since Kintsugi remits to US state agencies in USD.

  • International wires often pass through one or more intermediary banks, each of which may deduct a handling fee before the funds arrive. Pls cover the handling fee/transfer fee so Kintsugi will receives the full amount you sent.

  • Ask your bank about the "OUR" fee option, where you (sender) cover all transfer fees so the full remittance amount arrives intact. This is different from "SHA" or "BEN," which split or pass fees to the receiver.

  • If you are unsure how much will arrive after fees, check with your bank before sending, or send a small buffer above the amount due and let your CSM know so it can be reconciled.


Fees to Be Aware Of

  • State registration fees: These vary by state, and some states charge none. Confirm the fee for your specific state with your account manager rather than relying on estimates, since fee schedules can change.

  • Wire transfer processing fees: Each wire transfer may incur a processing fee. This fee is set by your bank and may vary depending on the transaction amount and the sending institution. Kintsugi does not control or collect these fees.

  • International wire fees and intermediary fees: If you are wiring from a non-US bank account, additional international transfer or intermediary fees may apply. Confirm these charges with your bank before initiating a transfer.

  1. Confirm wire details with us before sending.

  2. Send us proof of the wire as soon as it is initiated.

  3. Track your due dates and send your wire early enough to avoid missed filings.

Open a US Bank Account for Faster Processing

To speed up your tax remittance, you can choose to open a US bank account. Once you establish a US bank account and it is already active, you’ll be switched to Kintsugi’s standard remittance process, which is faster, less hassle, and more convenient for ongoing filings.


Moving to a US Bank Account

Wire transfer is designed as a bridge, not a permanent setup. Once you open a US bank account, Kintsugi switches you to our standard remittance process, which is faster and requires less manual coordination on both sides.

Non-US citizens and non-US residents can often open a US bank account, though requirements vary by bank. US banks follow Customer Identification Program (CIP) rules, and many will accept an application with valid identification and address documentation. Some banks may also ask for an ITIN (Individual Taxpayer Identification Number) or an in-person branch visit.

What to typically expect:

  • A valid passport, and sometimes a second form of ID

  • Proof of address, US and/or foreign

  • An ITIN in some cases, though alternatives may be accepted

  • A possible in-person visit to a US branch

Since requirements and policies differ by bank and location, check a few major banks' non-resident account pages for their current requirements before visiting a branch.


FAQs

Q: Will Kintsugi automatically debit my non-US bank account?

A: No. Kintsugi will not automatically debit a non-US bank account. If you are using the wire transfer option, you are responsible for initiating the wire each filing period based on the remittance amount provided by Kintsugi.

Q: Do I need a US EIN to use Kintsugi?

A: A US Employer Identification Number (EIN) is required for registration and filing in most states. If you do not have one yet, we recommend getting one as early as possible. Your account manager can guide you through the process.

Q: Can I keep using my non-US bank account long-term?

A: Wire transfer is meant to be temporary. To avoid delays, added fees, and extra coordination, we recommend setting up a US bank account as your primary payment method as soon as you are able.

Q: Where can I see my remittance records?

A: Once a filing is processed and marked as "Filed," you can view the remittance details and download a receipt directly from your Kintsugi dashboard.
