Manually Approving Unfiled Filings in the Kintsugi App (and What Happens to the Payment)

How to review and approve a filing, and what happens to your payment once you do

Kintsugi auto-generates filings each month based on your transaction data. Filings sit in Unfiled status from the 1st through the 4th of the month for your review, and are auto-approved on the 5th. If you'd rather review and approve a filing yourself before then, follow the steps below.


There's No Separate Payment Approval Step

This is the most common point of confusion, so it's worth stating plainly:

You approve the filing. The payment follows automatically. There is no second screen, button, or confirmation where you approve the payment on its own. Approving the filing is the single action that authorises both the return and the debit from your linked bank account.

If you're looking for a payment approval step and can't find one, that's because it doesn't exist — approving the filing already covered it.

​​This guide will walk you through the simple steps to review and approve unfiled filings in Kintsugi. Following these instructions will help ensure your filings are accurate and processed on time.


Step 1: Log in to your Kintsugi account

1.1. Open your web browser and go to Kintsugi log in page.

1.2. Enter your username and password, then click Log in.


Step 2: Access Filings and Filter for Unfiled Filings

2.1. Once logged in, look for the left-side menu and click on Filings.

2.2. On the Filings page, click the Filter button.

2.3. In the filter options, find the Status dropdown, and tick the Unfiled checkbox.

2.4. Click Apply to display only the filings that are awaiting approval.


Step 3: Select a filing to approve

3.1. Hover over the selected filing you wish to approve.

3.2. Click the Approve button on the right side of that filing’s row.


Step 4: Review and Approve the filing

4.1. Carefully review all filing details shown in the pop-up window.

4.2. Carefully examine the information.

4.3. Once all details are confirmed, click the File button.

4.4 The Tax Operations team will automatically be notified to process your filing. Once approved, the filing is submitted to the state tax authority and the ACH debit is initiated.


Important Notes

Editing Deadline: Make sure to finalize all necessary changes to unfiled filings before clicking "Approve" at least three (3) business days before the 15th of the month.

Don’t forget to manually approve any unfiled filings at least three (3) business days before the 15th of the month if you’ve enabled Pause Filing. If you don’t, the filing won’t be processed since pausing a filing deactivates the automation.

Regular Review: Get into the habit of reviewing your filings regularly to prevent any last-minute issues or delays.

Quick Search: Use the filter options to quickly locate and manage your unfiled filings.


What Happens After You Click Approve

If You're Approving a Back Filing

Everything above applies the same way to back filings (returns for past periods, usually filed after a state review turned one up). The one difference: back filings never auto-approve. A current filing you ignore gets approved for you on the 5th. A back filing you ignore just sits in Unfiled, waiting, with no deadline forcing it forward.

To find back filings specifically, use the Filing Category filter on the Filings page and select Back Filings.


Before You Approve: Two Things to Check

Your filing total may still be moving. Until a filing is approved, Kintsugi keeps recalculating it as your connected platforms sync new or updated transaction data. Small changes between the 1st and the 5th are normal and don't indicate an error. Approval is what freezes the number.

Your bank details need to be in place. Kintsugi can only debit and remit if your banking details and authorisation are already set up on your account. If they aren't, the filing can be approved but the payment won't be able to process.


If You Remit Payments Yourself

If you pay the state directly by wire, check, or through the state portal rather than via Kintsugi's ACH debit, use this order:

  1. Wait until you're ready to finalise.

  2. Review the filing total and confirm it's accurate.

  3. Approve the filing to lock the total.

  4. Export or note the final approved amount.

  5. Submit your payment based on that approved figure.

Paying before you approve risks the total shifting afterwards, which creates a mismatch you'll need to reconcile with the state.
