Guidelines for correcting a sales tax return that's already been filed

What Is an Amendment?

An amendment is a correction to a sales tax return that has already been filed. If the data on a submitted return turn out to be wrong (too high, too low, or based on incomplete data), an amended return must be filed to bring the record up to date.

Return not filed yet? You don't need an amendment. If the filing period is still open, you have time to correct the data yourself before it's submitted:

  • If you paused the filing and it still awaits of your approval: You can make corrections and approve up until the 15th of the month.

  • If your filing is set to auto-approve: You can make corrections any time before it auto-approves on the 5th of the month.

Amendments only apply once a return has actually been submitted to the state. If you catch the error before then, there's nothing to request; just make the correction within your review window.


When to Request an Amendment

You may need to request an amendment if:

  • The sales or tax data on a filed return was incorrect.

  • You found a discrepancy after a return was already submitted.

  • You received updated transaction data that changes the numbers for a prior filing period.

When you don't need one: If a transaction simply shows up in a later filing than expected, that's usually a timing issue — not an error. Data can take a bit to sync depending on your platform, so a transaction dated in one period might not appear until a later report closes. That's expected behavior, not a reporting mistake. In short, you only need to file an amendment if a return was submitted incorrectly, not because transactions appeared late due to sync timing.

How to Submit an Amendment Request

Reach out to the Kintsugi Customer Support team using the chat in the bottom right corner of your screen, and include:

  1. The filing period that needs to be amended

  2. What needs to be corrected, in a sentence or two

  3. Any updated data or supporting documentation (corrected transaction totals, an exemption certificate, etc.)

Once your request is received and reviewed, our team will process the amended return accordingly.


Processing timeline

Amendment requests typically take 4 to 6 weeks from the date the request is received and confirmed.

The exact timeline depends on the state and how complex the correction is. We work to complete every request as efficiently as possible, and it's often finished sooner than 6 weeks.

Our team will reach out directly with updates as your request moves through processing, so you don't need to check back to know where things stand.


If the amendment changes the amount you owe

Additional tax owed: If the correction increases the tax liability, the state may assess penalties and interest on the difference. These amounts vary by state and by the nature of the change — Kintsugi will pass along any state-assessed fees as soon as we're notified of them.

Refund or credit: If the correction reduces the tax liability (for example, an exemption or overpayment wasn't reflected on the original return), the amendment may result in a refund or credit from the state instead. Refund timelines and processes are set by each state, and we'll keep you updated on what to expect once your amendment is filed.

Q: Does the 4–6 week timeline apply to every amendment?

A: Yes. That is the standard processing time for customer-initiated amendment requests, regardless of state.

Q: My return hasn't been filed yet, do I still need an amendment?

A: No. Amendments only apply to returns that have already been submitted to the state. If the period is still open, let support know and we'll help you get the correct data in before the filing is prepared, which is typically faster than an amendment.

Q: A transaction from an earlier period showed up in my current filing. Is that an error I need to amend?

A: Not necessarily. This is often just a timing/sync issue rather than a mistake on the original return. Amendments are for data that was genuinely reported incorrectly. Just reach out if you're unsure which applies to your situation.

Q: What if the error wasn't caused by me?
