FAQs on installing and using the Kintsugi tax-engine integration with NetSuite

This article provides answers to common questions about installing and using the Kintsugi tax-engine integration with NetSuite (using the Vertex SuiteTax bundle).


1. Installation and Setup

How do I install the Vertex SuiteTax bundle in NetSuite?

The Vertex bundle is installed as part of the Enable Tax Collection flow in your Kintsugi account. Once tax collection is turned on, click Install Vertex on NetSuite and follow the steps shown on your screen.

Do I need to configure the Vertex bundle after installation?

Most settings are handled automatically during the initial setup. While you may see new Vertex fields in NetSuite, extensive manual configuration is not required. Product tax categories will sync from Kintsugi once the full taxonomy loading feature is released.

How does my nexus (tax obligation) information sync?

Your tax obligations (nexuses and registrations) set up in Kintsugi should automatically sync to Vertex and NetSuite. If a nexus is missing, please allow a few minutes for the system to update. If the problem continues, contact our Support team for validation.

2. Customer and Product Setup

Do I need to set up sales tax exemptions for customers?

Yes. Exemptions (for customers such as resellers or government entities) must be configured within NetSuite in the customer’s specific Vertex fields. These settings control when sales tax should not be applied to a sale.

Do products need special setup in NetSuite?

Products are classified within your Kintsugi account. This classification is used by Vertex for tax calculation. Additional product setup on the NetSuite side may not be necessary once Vertex releases its taxonomy sync enhancements.

3. Tax Calculations

Why was tax calculated for a state where I don't have nexus?

This may happen for one of two reasons: (1) Your nexus setup in NetSuite is incomplete ; (2) A recent configuration update is still being processed by the system. If the issue is persistent, please contact Support to verify your tax settings.

4. Syncing Transactions

Which NetSuite transactions are synced to Kintsugi?

The following transactions are synced: Invoices, Credit Notes, & Sales Orders.

Sales Orders transactions are only used for tax calculation and are not synced to Kintsugi.

How often does NetSuite sync with Kintsugi?

The sync occurs every 15 minutes.

What happens if I archive a transaction in Kintsugi?

Only the Kintsugi record is archived. The corresponding transaction in NetSuite remains untouched.

Does an invoice need a specific status to sync?

No. An invoice is added to the sync queue as soon as it is created in NetSuite.

5. Reporting

Does Kintsugi write tax filing details back to NetSuite?

No. NetSuite's built-in reports only show NetSuite and Vertex data. All tax filing data managed by Kintsugi remains within the Kintsugi system.
