How to Reconnect Your QuickBooks Integration

Your QuickBooks connection keeps your transaction data flowing into Kintsugi so your sales tax calculations and filings stay accurate. If that connection drops, it's rarely something to worry about as most disconnects clear up with a quick reconnect, and in some cases you may not need to do anything at all.

This guide covers why a QuickBooks connection typically disconnects, how to reconnect it, and answers to the QuickBooks-specific questions we hear most often.


Why Did My QuickBooks Integration Disconnect?

A few different things can trigger a QuickBooks disconnect:

  • Your authorization expired or was revoked. This is the most common cause: QuickBooks tokens can expire or be revoked over time, and the connection needs to be refreshed.

  • QuickBooks shows "Company Locked Out." This is a temporary lock Intuit places during brief, routine server maintenance. It isn't a real credential problem, and your login stays valid the whole time. It typically clears on its own within 5–10 minutes.

  • A temporary error on Intuit's or our sync provider's side was mistaken for an invalid connection. Occasionally QuickBooks returns a brief, unrelated server error that gets flagged as an authentication failure even though your credentials are fine. When this happens broadly across many customers at once, it's usually resolved automatically without you needing to reconnect.

  • The person who originally connected QuickBooks lost admin access. The QuickBooks connection has to be authorized by an admin user on your QuickBooks account. If that person is later removed from your QuickBooks company, the connection breaks and needs to be re-established by another admin.


How to Reconnect

  1. Go to Settings → Integrations, find the QuickBooks connection marked Invalid or Revoked, and click Reconnect.

  2. You'll be asked to log in to QuickBooks again to re-authorize access. Make sure you're logging in as an admin user on the QuickBooks account; this is required for the connection to succeed.

  3. Complete the login and authorization prompts, and the connection should return to Active.

A couple of things to watch for:

  • If QuickBooks shows an "Invalid configuration" error instead of the normal login prompt when you try to reconnect, contact Kintsugi Support rather than repeating the attempt, as this needs to be fixed on our end.

  • If QuickBooks briefly shows a "Company Locked Out" message, don't reconnect right away. This is usually temporary (Intuit performing routine maintenance) and typically clears on its own within 5–10 minutes. Only reconnect if the message persists well beyond that window.

Q: Is it safe to reconnect my QuickBooks integration?

A: Yes. Reconnecting only refreshes your authorization and doesn't affect data that's already synced or filings already submitted.

Q: I got a notification that my QuickBooks connection is disabled, but nothing seems wrong on my end. Do I need to reconnect?
Q: Sometimes a brief, unrelated error from QuickBooks gets mistaken for an invalid connection. If this is happening to a lot of customers around the same time, it's often resolved on our end automatically once the underlying issue clears, and your credentials were likely never actually invalidated. If your connection still shows as inactive after a little while, go ahead and reconnect to be safe.

Q: Why did my QuickBooks connection break after an employee left our company?

A: QuickBooks connections are tied to the specific admin user who authorized them. If that person is removed from your QuickBooks company, the connection breaks and needs to be reconnected using a different admin-level user's login.

Q: After reconnecting, I noticed some old invoices are missing, or a filing looks duplicated. What should I do?

A: This can happen in rare cases, especially if there was a duplicate or test QuickBooks connection involved. Contact Kintsugi Support so we can manually re-sync the affected data so everything reflects correctly.

Q: What if reconnecting doesn't fix my QuickBooks connection?
